At Creative Resource we take your data privacy very seriously. This information explains what information we process and what we do with it.
The data we hold for Candidates is for the purpose of helping a Candidate to find a job. We process this data according to legitimate interest. We can’t help you to find a new job without having your cv and contact information, but we will never ask you for any sensitive information. We do not pass your data to any third party, except, with your express permission, to a specific client for a vacancy we have been briefed to work on, we will ask you to agree to your details being sent to a client on a role by role basis. We never send your cv to anyone without your permission.
There are no circumstances whereby we would pass on or sell your cv or contact information to anyone else. If you find a job and want your details to be removed from our system please let us know. Otherwise we will keep them and may contact you in the future if we have a role we believe you may be interested in. We may also contact you from time to time about industry events we are involved in organising. If we place you with one of our clients, we will keep your information for administration purposes but won’t contact you. Your cv and contact data will be stored using our Recruitment software provider Invenias which is cloud based, they are a Data Processor.
The only personal data we hold is your cv, your contact information, notes we make following interviews or calls, including salary requirements. We do not ask for or hold NI numbers, Passport Numbers, DOB or any other personal information which may be deemed sensitive information. If you add this information to your cv we will delete it or ask you to delete it. Our recruitment software can also link to your public LinkedIn and Twitter profiles, which we may do.
If you send us a portfolio it will be stored on a secure NAS drive at our offices. Our NAS drive is backed up daily using CrashPlan operated by Code42.
If you apply for a job through our website your application is captured and stored in the back-end of the site whilst simultaneously being emailed to us. We carry out weekly deletions of the data on our website.
Whether from our website forms, a direct application or via a jobs board, your cv will arrive with us via email. We use Microsoft Office 365, so our email system is cloud based and protected by Microsoft security.
Paper records – We may print out your cv to make notes on etc during our interview. This will not be stored as all paper documents are destroyed using confidential waste company Data Shred. We receive and hold all confidential waste destruction certificates.
The data we hold for clients consists of: your contact details including office telephone number, mobile number (if you provide it to us), email address, postal address, name and job title. This is contained within our Invenias CRM system. Your name and email address may also be held on our Mailchimp account unless you have asked to unsubscribe. We process this data according to legitimate interest. We will only use this information for the purpose of contacting you about candidates in response to a brief you have given us, or from time to time sending a candidate update mailing, letting you know company news or letting you know about events we are involved in organising. The data processors we use are Invenias and Mailchimp. There are no circumstances when we would pass on or sell your contact information.
To comply with recruitment conduct regulations we keep your records for a minimum of one year
following the last contact we have with you. We do not make any decisions about your suitability
for a role based on automated decision making and profiling.
